Welcome to the PyLadies Vancouver Handbook! We’re publishing this in the open for two reasons: so anyone helping out has a clear, repeatable guide to follow, and so our community can see how much goes into each event.

Who should speak

Everyone has something worth sharing. You should consider speaking if you:

Have learned something with Python (or an adjacent tool) and can walk others through it
Built a project, solved a tricky problem, or discovered something you found useful
Want practice presenting in a friendly, low-pressure setting
Have never spoken before: we especially encourage first-time speakers

You do not need to be an expert, have a novel topic, or hold a particular job title. If you’re unsure whether your idea is a fit, ask us: the answer is almost always yes.

Lightning Talks

What is a lightning talk

A lightning talk is a short, timed talk. At most conferences it’s strictly five minutes, often with a countdown or auto-advancing slides, and the host will cut you off the moment time runs out. Because we’re less formal than a conference, we’ll consider talks anywhere from 5 to 15 minutes, so you have a little more room to breathe.

Either way, the spirit is the same: cover one idea, not everything you know about a topic. That constraint is a feature. It’s long enough to teach one useful thing and short enough that it’s never a big commitment, for you or the audience.

Host a Venue

What we need

The bare minimum to host is:

A space that comfortably fits our group (typically 20–30 people)
A projector or screen and basic A/V for the talks

That’s it. A spot that’s accessible by public transit is a big plus.

What’s optional

Food (often pizza) is optional: always appreciated, but not required to host. Food can also be covered by a separate sponsor, who doesn’t have to be the same organization providing the venue.
Drinks, snacks, and any extra hospitality are welcome but never expected.

What hosting involves

Letting our group into the building and pointing us to the room
Sharing any access, safety, or conduct rules your space requires
Most venues ask us to sign an event hosting agreement covering booking lead time, setup/cleanup, access procedures, and a cancellation policy, and we’re happy to work within these.

We treat your space with care: we set up and reset the room, clean up after ourselves, and follow your rules. Keeping a venue welcoming for the next event is a priority for us.

Beyond direct donations, you can sponsor a specific event, most commonly by covering food (like pizza) for an evening. A food sponsor doesn’t need to be the venue host; it’s a great, low-commitment way for an organization to support the local Python community.

Ways to pitch in

Coordinate with our venue host: handle logistics with the space and confirm details
Coordinate with sponsors: line up food or other event sponsorship
Speaker support: help speakers prepare and feel welcome before and during the event
Be the MC of the day: host the event, introduce speakers, and keep the program on time
Write blog recaps: turn an event into a write-up for the site (see Contributing to the Website)
Design assets: posters, social graphics, and event banners

Contributing to the Website

How the site works

The site is a Hugo project using the Popular theme, in our GitHub repo. Changes go through a pull request and deploy automatically via Netlify once merged. Every pull request gets a Netlify deploy preview, so you (and reviewers) can see the rendered result before merging.

The theme is a Hugo Module pinned in go.mod, so there is no themes/ directory in the repo: Hugo downloads the theme for you on the first build. You need both Hugo (v0.126.0 or newer) and Go installed. The theme’s styling is plain CSS, so there is no SCSS or npm step.

Our first meetup of the year is in the books, and what a way to start. We had a full house: RSVPs filled up, a waitlist formed, and 23 of you checked in on the night. Thank you, Vancouver. The room was warm, the questions were great, and the pizza disappeared at a very respectable pace.

What Happens When Your Agent Has to Wait for a Human, by Melanie Warrick: how durable execution with Temporal keeps an agent’s state alive through crashes and long waits, with a short live demo.
A Practical Introduction to Generative AI and Large Language Models, by Daniel Chen: how LLMs actually work and how to use them effectively in Python-based data science workflows.

Back to the future: Timeless career tips for my younger self, presented by Kim-Adeline Miguel Fundamentally, “managing your career” is about being happy at work, and moving your career in a direction that makes you happy. This talk will share 4 actionable tips to own your career, so that you can kickstart your happiness whether you are starting up, already climbing the ladder or simply looking for a change.

Kim-Adeline is a Software Engineer at Microsoft working on the Python extension for VS Code. Prior to that, she dabbled with parallel programming in Singapore and worked as a front-end engineer in Denmark and in Vancouver.

Asyncio is a relatively new feature in Python, with the async and await syntaxes only recently became proper keywords in Python 3.7. Asyncio allows you to write asynchronous programs in Python. In this tutorial, we’ll introduce you to an asyncio web library called aiohttp.

aiohttp is a library for building web client and server using Python and asyncio. We’ll introduce you to several key features of aiohttp; including routing, session handling, templating, using middlewares, connecting to database, and making HTTP GET/POST requests. We’ll provide best practises in building your aiohttp application, as well as how to write tests for your application.

Throughout her career, she has supported production systems for a range of organizations, from fast-growing Silicon Valley startups to a major public cloud provider. She is particularly proud of her work in incident response and improving the on-call experience for those carrying the pager.

Daria is an active contributor to the open-source community, helping to organize technical events. She currently leads the Communications Team for EuroPython and previously has been co-organizing the Czech PyCon conference.

The Vancouver Independent School for Science and Technology (VISST) hosts some of our meetups. It sits on West Broadway.

VISST is a non-profit, STEM-focused high school founded in 2022. It emphasizes rigorous academics, project-based learning, and inspiring curiosity. Its sliding-scale tuition brings authentic diversity to the student population. The school also runs summer camps for younger students, starting from Grade 4.

Our connection is through VISST co-founder Mike Gelbart, previously a data science faculty member at UBC and one of the founders of the UBC Master of Data Science program.
